Software Licensing:

Perhaps one of the least known areas regarding software is the availability of Volume Licensing being offered by most, if not all, software vendors. Simply stated, volume licensing of software makes it easier and more affordable to run software on multiple computers within an organization. It will be much easier to audit, manage and keep it all updated and legal.  SOE’s (Standard Operating Environment’s) can only be done through this way and the implementation of licenses allows for ‘keyless’ media to be used saving time and money when having to install key applications & systems, managing and activating the software and ensuring a common company-wide standard of best IT practice.

By acquiring software licenses you only pay for the licenses and quantities that you need or use. Boxed software (or Full Packaged Product - FPP), on the other hand, which includes media (the CD-ROM or DVD), a user's guide and other packaging items, becomes a nightmare to deploy, manage and administer. Eliminating these physical costs and purchasing in volume/bulk often reduces costs and provides a more customised purchasing option with improved software management.

Depending on the Volume Licensing program you choose, you may receive media, and you have the option to acquire media (or supplemental media), documentation, and product support separately as needed.  There are also Volume buy breaks depending on quantity, special Government, Education and Not for Profit pricing as well, depending on the industry you are in.  You even have the option to rent or lease software, making it an expense to your company and taking off the balance sheet into the P&L as an expense to the company with predictable cash flow advantages.

In the case of some Volume Licensing programs, you may also purchase Software Assurance or Software Maintenance.  This comprehensive offering can help you get the most out of your software investment. It combines the latest software with phone support, partner services, training and IT tools. You can choose Software Assurance at the time of purchase and begin using your benefits immediately for the term of your license agreement.

To choose the optimal approach for your organization, you must first understand the major characteristics of Volume Licensing policies and programs. Areas for consideration:

  • The size and type of your organization

  • The products you want to license

  • The way in which you want to use those products

Software vendors can tailor some of its programs to meet the needs of specific industries, depending on the primary function of the organisation. For example, the public sector organisations such as schools and universities.

For smaller organisations, certain licensing programs provide a simple, cost-effective way to acquire the latest software technology has to offer.
